A unique behind-the-scenes look in the busy month of June
What a fantastic week we've had! The busy month of June couldn't have started better with so many beautiful events. Did you know that we hosted nearly 15,000 guests last week? With that number of guests, you could almost fill the FC Utrecht stadium! It was a successful week, and in this newsletter, we'd like to look back on some of the moments and events.
Whether you’re an experienced event planner or organizing your first event, all event organizers have one thing in common: the desire to create a successful event. An event where you, as the organizer, can also enjoy the day. Coincidentally, we share that same wish as an event venue. That’s why our dedicated and involved team works every day to make each event a success in collaboration with our clients.
A smooth event: what does it take?
A smoothly running event doesn’t just happen. Take, for example, the ParkinsonNet event from last Wednesday. We had the honor of facilitating a conference for this client, hosting 1,900 guests. In the preparation phase, we worked with the client to plan the layout and setup of the spaces. Floor plans were drawn, the culinary lineup was designed, the AV technology was fine-tuned, and a detailed schedule was created. What made this event truly special? The plenary session was followed from two rooms. Our maximum capacity for a plenary session in one room is 1,750 guests. To ensure all guests could attend the plenary session, we established a streaming connection between the Event Hall and the Grand Hall. This worked perfectly!
In addition to effective technology and a delicious culinary experience, there is another crucial factor for success: our team. Led by our passionate floor managers, our hospitality team completes the event experience for guests. Floor manager Desiree gave you a unique behind-the-scenes look at her workday this week. Her role within the team is crucial, as she is an important link for clients. She is responsible for good time management, briefing and directing the team, and quickly resolving any challenges that arise. Together with the client, she ensures the success of every event! Summer culinary offerings
Craving carpaccio in a cone or tuna lollipops? Our in-house kitchen team, led by chef Robbert, prepares the most delicious dishes. Flavors from around the world are combined to create a delightful culinary lineup. Robbert also creates a new menu each season, using the freshest products and ingredients of that time of year. This not only tastes great but is also much less taxing on the environment. By using seasonal ingredients, we reduce energy consumption for cultivation, and these ingredients also offer better nutritional value and more flavor.
Highlight of the week
Every week, we ask a different colleague about their favorite moment of the week and their biggest challenge. This week, it’s project manager Nicole’s turn. With her boundless enthusiasm, she oversees the entire planning and preparation of events. Last week, she was responsible for two major events: the ParkinsonNet conference and a conference for RVO with 950 guests. Nicole’s highlight this week was an early start to the workday. “For the ParkinsonNet event, we began the day at 5 AM, together with the team and the client. It was very early, but the atmosphere was fantastic. We really worked together as a team to make the day a success.”
Nicole’s challenge
Nicole’s challenge occurred during the RVO event. “The client had provided custom-made content for a large number of screens, which was pre-programmed. However, on the morning of the event, something went wrong. In such moments, it’s incredibly helpful to have a dedicated AV technology partner present during events. I was able to quickly coordinate with AVEX, and we resolved the issue in time.”
